HauptaufgabenPerforms the following miscellaneous clerical/typing tasks: (a) Composes non -technical correspondence and reports relative to property and supply, submittals, status of projects, and like matters for signature of supervisor; composes this material from brief notes and instructions, tape recorder, dictation, data obtained from files and records, etc. and directed to the District Office, contractor, Using Agency, and other concerned with the construction work. (b) Maintains the office filing system in accordance with AR 345-15, TAFFS. Maintains jacket files for each construction contract and files all supporting documents pertaining to respective contract from award of contract to final completion and acceptance. Maintains general files for correspondence, District Orders, memoranda, directives, etc.; makes revisions to any regulation orders as received from higher authority. (c) Makes arrangements for travel, conferences, and meetings as required. Takes minutes at such conferences and meetings; puts into final form for signature of the Resident/Project Engineer. (d) Locates and assembles information for various reports, briefings, and conferences such as preparing biweekly time and attendance reports; maintaining sick and annual leave records and other personnel records; monthly Safety Reports; monthly vehicle trip tickets; vehicle maintenance records; monthly telephone reports; etc. (e) Screens telephone calls and office visitors, receives and gives technical messages, answers technical inquiries based upon information available in contract specifications, drawings, records, and files or refers caller/visitor to inspectors, Using Agency, contractors, and District Office; records names of visitors in visitation control records; places toll calls and certifies to District Office for payment. (f) Reviews all incoming official mail to keep abreast as to general information relative to work activities, records action required for reply or report. Distributes mail to supervisor and his assistants, retaining matters requiring action by self. Calls to the attention of personnel involved correspondence or report deadlines required. (g) Maintains Resident Office Reference Library consisting of technical references, manufacturer catalogs, etc., by up-dating with new material and keeping material correctly filed. (h) Updating and keeping Fed Specs, Mil Specs, ARs, CIRs, EDs, ERs, LOMs, OMs, SPL CTRs, and SPL Oms correctly filed. (i) Prepares SF44, Purchase Order, for supplies or services as required; forwarding for payment by District Office. (j) Posts all amendments to the contract specifications and drawings, and end-of-job marking up of the As-Builts. (k) As imprest Fund Cashier purchases miscellaneous urgent supplies and services required; disbursing funds in accordance with regulations and/or approving purchases made by other authorized personnel. Makes cash payment upon receipt of supplies or services, obtaining reimbursement of funds from District Office, and preparing and submitting necessary reimbursement vouchers. (1) Types a variety of narrative and tabular material using a variety of formats with responsibility for proper form and arrangement as required by style manuals and with further responsibility for correct punctuation, capitalization, spelling, grammar, etc., and for proper wording to provide clarity of expression. (m) Picks up and delivers mail (Government drivers license required). Serves as interpreter for office employees with contract personnel if needed on simple routine matters. Types a variety of documents from handwritten and rough drafts with responsibility for selecting appropriate format, arrangement and spacing of material, and for assembling any necessary enclosures to accompany finished correspondence. Performs other duties as assigned.
