Primary Function of Position
- Manage office/facility management and handle office management/administration related vendors and contractors
- General office management tasks and office related procurement such as pantry and office suppliers, ensure proper stock level
- Provide support to organize team engagement and employee related activity.
- Support safety management works
- Support In-direct procurement works including vendor registration, etc.
Essential Job Duties
- Daily facility inspection and facility maintenance coordination.
- Stock management for stationery, snack & drink, coffee capsule, and other office supplies
- Monthly invoice management for Facility Management vendors
- Respond facility-related issue and coordinate with external contractors.
- Support seasonal FM events and local, company events when needed
- Support the hotel contract management.
- Support the rental car management.
Required Skills and Experience
- Minimum 1-3 year solid experience as an administrative assistant or office management
- Experience in office management with background as an facility management assistant or receptionist is preferred
- Excellent verbal and written English communication skills.
- High attention to detail and driven to follows up and see tasks through to the end
- Strong organizational and communication skills.
- Must be able to work independently as well as a team player with collaboration spirit
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Required Education and Training
- Minimum Bachelor’s degree in Business administration or in related field
Working Conditions
- On-site support on weekdays
Preferred Skills and Experience
- Strong communication and interpersonal skills.
- Friendly and professional demeanor.
- Previous experience as a receptionist or in facility management
- Ability to handle emergencies and make quick decisions
