Job Summary:
Primary Function
Supports the operation by ensuring clients receive prompt service, the administrative duties are completed and by coordinating the information flow for the group.
Working Relationships:

Principal Duties &
Understanding the Business
Promotes awareness of staff and team members relating to issues such as CSA policies and procedures, occupational health, safety, and environmental issues, crisis management, problem solving and project management Documents, reviews and updates GMA working processes and procedures so that all users of the information can provide consistent, cost effective and timely servicesWorking Well with Others
Ensures group records and Human Resources records agree at fiscal year-end. Coordinates with accounting credit analysts on a daily basis to ensure all Field Evaluation accounts are up to date, advises project owners of overdue accounts, coordinates with clients, provides invoice and back up report to collect outstanding amounts per accounting agreements. Enters and tracks all labels that have been affixed by the group Liaises with calls from local authorities, audits & investigations in tracking requested labels Conducts final tally of all label inventory at fiscal year-end Serve as point of contact for other CSA locations Plans, organizes and conducts training sessions with customers, internal staff and International Partners/Agencies to ensure consistency of process and maintenance of technical competence Arranges for subject matter experts to assist with technical training and/or conduct training sessions as requiredDelivering Results
Supports operation project delivery teams and office/lab location with tasks related to expense accounts, venders, purchasing, travel, guest support including hotel, lunch and dinner reservations for internal/external guests, security, reception telephone coverage, shipping & receiving, HSE site rep or support, expense entry/submission, meeting minutes capture, visitor experience management, MetTeam data input and other duties as assigned by Operations management Coordinates and performs regular administrative work for the operation project delivery teams and office/lab location including issuing form letters, acknowledging letters, filing, scanning and importing documents into Documentum, photocopying, distributing standards, bulletins and memos, scheduling meetings, booking meeting rooms, maintaining supplies and preparing meeting minutes Maintenance of ESA/CSA label tracking, reports, correspondence and label inventory within Special Inspection Generator Programme Obtains quotes and gathers information regarding purchase, calibrations and maintenance of Laboratory equipment Manages and oversees purchasing procedures with full documentation as required, including budget tracking and reporting Assists in the maintenance and compilation of accreditation-relevant documentation and database systems with high level of attention to detail Planning, and coordination of qualification trainings within the team; may include assisting colleagues in making hotel and travel reservations for internal and external visitors. Arranging lunches and making dinner reservations, etc.Concern for Safety

Full Secondary School Diploma 2 years of clerical training on Microsoft Office and various application and software Must possess computer skills, including the Microsoft Suite and software applications used to conduct business, ideally Salesforce.com Proven ability to plan, organize and perform assigned duties with minimum supervision Must be capable of managing variable work flow and completing multiple tasks on a routine basis Demonstrated high attention to detail Excellent written and verbal communication skills Demonstrated interpersonal skills; must be service-oriented both within the immediate work environment as well as external to the organization Bilingual English and French may be required in some regions-
